A-1 Travel & Tours (“A-1”, “we”, “us”) is a travel agency at 100 N Central Expy, Suite 1005, Richardson, TX 75080. This policy explains what personal information we collect through www.a1travel.net and when you contact us, how we use it, and the choices you have.

What we collect

• Contact details: your name, email, phone or WhatsApp number and how you’d like us to reach you.
• Trip details: destinations, dates, number of travelers, departure city, preferences and anything you tell us in a form, by phone, email or WhatsApp.
• Booking details: when you book, the information airlines, hotels and tour operators require, such as passport details, dates of birth and payment information. We collect these directly from you when needed, not through the website forms.
• Health information (medical travel only): if you use our medical travel form or send us records, we receive what you choose to share, such as photos, medical reports, scans and a description of the treatment you’re considering.
• Website data: basic technical information your browser sends (such as IP address and browser type) that our web host records for security. The site uses cookies it needs to work and to stop spam, and Google Analytics cookies to measure how the site is used (see “Website analytics” below).
• Chat messages: if you use the chat assistant on our website, the messages you type and the page you were on (see “Website chat assistant” below).

How we use it

• To answer your request, prepare quotes and plan your trip.
• To make and manage bookings with airlines, hotels, transfer companies and tour operators.
• For medical travel, to arrange a second opinion and treatment plan with our partner coordinator and hospitals in Istanbul.
• To contact you about your trip, including changes and emergencies.
• To keep our records, meet legal and accounting obligations, and protect against fraud and spam.

We do not sell your personal information, and we do not use your health information for marketing.

Who we share it with

• Travel suppliers (airlines, hotels, transfer and tour companies) as needed to book your trip.
• Our medical travel partner coordinator and hospitals in Istanbul, Turkey, only with your consent, so doctors can review your case. This means your information will be handled outside the United States.
• Service providers who help us run our business, such as our website host and email providers, under their own security obligations.
• Anthropic, the company that provides the AI model behind our website chat assistant, receives the messages you type in the chat so it can write replies.
• Google receives website usage data through Google Analytics.
• SerpApi, a service that reads Google Flights for us, receives the route, dates and number of travelers you type into the fare check on our homepage, so it can show you current online fares. It does not receive your name, phone number or email.
• Authorities when required by law, or to protect the safety of travelers.

How long we keep it

We keep your information for as long as we need it to handle your request or booking and to meet legal, tax and accounting requirements. Medical files you send us are kept only as long as needed to arrange your second opinion and treatment, unless you ask us to delete them sooner.

How we protect it

We limit access to the people who need it to serve you and use reasonable safeguards. No website or email is completely secure, so please avoid sending card numbers by email or through our forms. We’ll ask for payment details securely when you book.

Website chat assistant

Our website has an AI chat assistant that answers general questions about our services. When you use it, the messages you type and the address of the page you are viewing are sent to Anthropic, the company that provides the AI model, so it can write a reply. To answer questions about current official rules (for example visa, entry or airline baggage rules), the assistant may search a short list of official websites, such as government and airline websites; these searches are carried out by Anthropic and describe the topic of your question, not who you are. We keep the conversation on our website’s server so the assistant can follow it; it expires about 2 hours after your last message and is removed from our database within a day. If you ask for an agent to contact you, the details you give (such as your name, phone number or email, and your trip details) and a copy of the conversation are emailed to our team so we can help you, and we keep that email like any other customer request. Please do not share card numbers, passport details or medical records in the chat; anything that looks like a card number is removed automatically.

Website analytics

We use Google Analytics to understand how visitors use our website, for example which pages are viewed, how people found us and when a form or chat request is sent. Google Analytics uses cookies and collects information such as your device and browser type, your approximate location and the pages you visit. We look at this information only as totals to improve the website, not to identify you. Google processes it under its own privacy policy.

Fare check on our homepage

When you ask for a fare on our homepage, the route, dates and number of travelers you enter are sent to SerpApi, which looks them up on Google Flights and returns current online fares. Your contact details are not sent; they stay with us and are used only to reply to you. The fares shown are online fares at that moment, not a quote from us.

Your choices

• Ask what information we hold about you, and ask us to correct or delete it.
• Withdraw your consent to share medical information with our partners at any time (this may stop us arranging treatment).
• Ask us not to contact you about offers.
• Opt out of Google Analytics with Google’s browser add-on (tools.google.com/dlpage/gaoptout) or by blocking cookies in your browser.

Children

Our website is not meant for children under 13, and we don’t knowingly collect their information through it. Parents or guardians provide children’s details when booking family travel.

Links to other sites

Our site links to other websites, such as WhatsApp, Google, Yelp and Facebook. Their own privacy policies apply when you use them.

Changes to this policy

We may update this policy. The date at the top shows when it last changed.
